How Koning Willem I College makes mobility flexible and sustainable for 2,000 staff

With around 2,000 staff and educational locations across North-East Brabant, mobility is a daily challenge for Koning Willem I College (KW1C). Staff travel to work and between different locations, have varying schedules and choose how they travel to work each day. To organise mobility in a clear and future-proof way, the vocational education institution looked for a solution that would both support staff and provide insight: this was found in Mobility Concept’s mobility platform.

“We used several processes to manage travel registrations and expense claims,” says Marloes Sanders, HR Business Partner at the college. “Bringing together and checking the data was complex and labour-intensive, and therefore prone to errors. At the same time, the need for reliable management information increased. Not only because of new laws and regulations, such as the mandatory WPM reporting requirements, but also due to the organisation’s own sustainability ambitions.

“We wanted to make mobility easy for staff, create an overview for HR and gain more insight into the impact of our travel behaviour,” Marloes adds.

A single platform for all mobility

KW1C found the solution in Mobility Concept’s mobility platform. The platform brings all mobility flows together in one system and makes registration simpler and more consistent.

“We offer staff convenience and flexibility in their travel choices,” Marloes explains. “They can decide for themselves how they travel to work, without making expense claims complicated.”

“For our HR department, it mainly provides more insight and control. A major benefit for us is the management information,” says Marloes. “We now have up-to-date insight into travel behaviour, costs and CO₂ emissions. This allows us to make well-informed decisions and manage more effectively. In addition, the mobility platform integrates with our HR system, and administrative processes are automated as much as possible.”

Staff themselves also now have better insight into their travel. “We hope this will increase awareness of travel behaviour,” Marloes adds. “The platform is set up based on the MBO collective labour agreement and our internal policies. This ensures clarity and transparency for everyone.”

A carefully managed implementation

Employees from various departments were actively involved in the project team and thoroughly tested the platform. “When rolling out a new solution for around 2,000 employees, you want to get it right,” says Marloes. “And we did. Thanks to the collaborative implementation approach with Mobility Concept, the go-live went smoothly. There was continuous proactive thinking and short communication lines, which made the entire process clear and manageable.”

The app has an intuitive design. “Employees were able to start using it straight away; it’s largely self-explanatory,” Marloes explains. “We also created FAQs and offered webinars for those who wanted more information or had questions. We’re hearing very positive feedback—employees find both the online environment and the app easy and pleasant to use.”

Encouraging sustainable travel

In the first phase, KW1C’s main priority was to ensure the platform was implemented smoothly and reliably, so employees could start using it effectively straight away. “Now that the foundation is solid, we can take the next steps,” says Marloes.

The next step is to actively encourage more sustainable travel behaviour. “We are aiming to reduce car usage and want to encourage public transport, cycling and car sharing,” Marloes explains. “With insight into travel behaviour and CO₂ emissions, we can help employees make more sustainable choices. In collaboration with Mobility Concept, we are using targeted communication and exploring additional campaigns and challenges. The team proactively thinks along with our needs, identifies new opportunities and continuously develops the platform further.”

KW1C is one of the most sustainable vocational education institutions in the Netherlands and continuously works on improvement and innovation. “We don’t see sustainability as something extra,” Marloes concludes. “It is part of good vocational education and of the responsibility we have towards students and society.”
