Mobility for employees is flexible and sustainably organised

With approximately 2,000 employees and educational locations throughout North-East Brabant, mobility is a daily challenge for the King Willem I College (KW1C). Employees travel to work and between the different locations, have changing schedules and choose how they get to work every day. To organise mobility in a clear, efficient, and future-proof way, the vocational education institution sought a solution that would both simplify travel management for employees and provide valuable insights for the organization. They found that solution in Mobility Concept's mobility platform.

“For the processing of trips and claims, we worked with multiple processes", says Marloes Sanders, HR Business Partner at the college. "Bringing together and checking data was complex and labor-intensive, and therefore error-prone."

At the same time, the need for reliable steering information increased. Not only because of new laws and regulations, such as the mandatory reporting WPM, but also because of the organisation's own sustainability ambitions.

“We wanted to make mobility easy for employees, create an overview for HR and gain more insight into the impact of our travel behaviour,” adds Marloes.

One platform for all mobility

KW1C found the solution in the mobility platform of Mobility Concept. The platform brings all mobility flows together in one environment and makes registration easier and more consistent.

“We offer employees convenience and flexibility in their travel choices,” Marloes explains. “They can decide for themselves how they get to work, without declaring complicated.”

"Our HR department mainly provides more insight and grip. A big gain for us is the steering information,” says Marloes. “We now have current insight into travel behaviour, costs and CO2 emissions. This allows us to make well-founded choices and steer more specifically. In addition, the mobility platform links with our HR system, administrative processes are automated as much as possible."

Employees now also have a better insight into their journeys. “We hope to raise awareness of travel behaviour with this,” says Marloes. “The platform is set up based on the CAO MBO and our policy. This ensures clarity and transparency for everyone.

A smooth implementation process

Employees from various departments were actively involved in the project team and extensively tested the platform. “You just want to do well by rolling out a new solution for about 2,000 employees,” says Marloes. “And we succeeded. Thanks to the joint implementation approach with Mobility Concept, the go-live went smoothly. There was always active thinking and the lines of communication were short. That made the whole process pleasant and clear.”

The app has an intuitive character. "Employees were able to get started with it immediately, it actually shows itself," Marloes explains. “We did prepare FAQs and offer webinars for those who wanted more information or had questions. We hear a lot of positive sounds; employees like the online environment and app to work.”

Stimulating sustainable travel behaviour

In the first phase, the priority for KW1C was that the platform was introduced smoothly and stable, so that employees could immediately get along well with it. “Now that that base is firm, we can take the next steps,” says Marloes.

The next step is to actively steer on sustainable travel behaviour. “We are committed to less car use and want to stimulate public transport, bicycles and carpooling,” says Marloes. “With insight into travel behaviour and CO2 emissions, we can help employees make sustainable choices. In collaboration with Mobility Concept, we use targeted communication, and investigate additional campaigns and challenges. The team proactively thinks along with our needs, identifies new possibilities and continuously develops the platform.

KW1C is one of the most sustainable MBO institutions in the Netherlands (the educational institution won the SustainaBul MBO several times) and continuously works on improvement and innovation. “We don't see sustainability as something extra,” Marloes concludes. “It is part of good vocational education and the responsibility we have towards students and society.”
